1 · Scope and responsibility
The data controller is the provider — the private individual identified on this page. AivaVoice is the school’s brand. Send privacy enquiries to aivavoiceschool@gmail.com. External websites apply their own privacy policies.
2 · Information collected
The enquiry form asks for your name, phone number and optional message. The enquiry also records the page and campaign parameters so that we can identify the offer you saw. To arrange lessons, you may share the student’s age group, city, time zone and availability. Do not submit identity documents, banking passwords, full card details or health information through the form.
3 · Purposes and legal grounds
Contact details are used to respond to your enquiry, discuss lesson arrangements and prepare or perform a contract. Payment records are processed where needed for accounting and legal duties. The form’s consent checkbox concerns responding to the enquiry, not advertising. Promotional messages require separate voluntary consent.
4 · Children’s information
A young child’s enquiry must be submitted by their legal representative. To arrange a lesson, the representative’s contact details and the child’s name and age group are generally sufficient. Form consent does not authorise recording a lesson or publishing photographs, voice recordings, videos or student stories. Such use requires a separate appropriate agreement.
5 · Access and service providers
Staff receive information needed to arrange lessons, and teachers receive information relevant to teaching. Website enquiries are stored in a protected database; technical contractors (hosting, communication) access only the information needed for their defined role. Contact data is not sold or shared with third parties for advertising.
6 · Video and third-party services
Local video files play in your browser. YouTube thumbnails may load from Google servers, and clicking a YouTube video loads a player that receives technical request information. Telegram, Viber, Instagram, TikTok, BUKI and Google Maps links open external services. If analytics or advertising trackers are added, they must be described and any required consent mechanism implemented before activation.
7 · Retention and protection
Data is kept only as needed for its purpose, contract performance and legal duties. Enquiries that do not lead to lessons are deleted within 12 months of the request. Accounting documents follow applicable statutory periods. Access is restricted to authorised roles; secure transmission and contractor access controls must be maintained. No system can guarantee an absence of technical risk.
8 · Your rights
You may request information about the processing of your data, access it, ask for corrections and request deletion where applicable. You may withdraw consent for consent-based processing and object where the law provides that right. Withdrawal does not reverse prior lawful processing or mandatory record retention. You may complain to the Ukrainian Parliament Commissioner for Human Rights or seek court protection.
9 · Making a request
Email aivavoiceschool@gmail.com with your request and the contact details used for your enquiry. Do not send identity documents unless necessary. If verification is needed, we will agree on a proportionate method. Requests are handled within applicable legal deadlines.
10 · International processing and updates
Students abroad and international service providers may involve additional data protection requirements; where processing takes place outside Ukraine, legally recognised transfer grounds apply. Updates will be published with an effective date. New purposes requiring consent will not be applied to existing information without the appropriate basis.
